Partner Onboarding

The Kanban pipeline, personal boards, health signals, notes, handoffs, and stuck-in-stage detection.

Phase 1 shell: this docs surface is wired to the existing backend and repo documentation, and will be expanded as the private dashboard comes online.

Overview

The Partner Onboarding section gives your team a shared view of where every partner is in the integration journey. It's a Kanban-style board with stages as columns and partners as cards. Unlike a simple tracker, each card carries live health signals pulled from the alert system.

There are three views in this section:

  • Partner Onboarding — the shared company-wide board for active onboarding
  • Company Overview — a read-only bird's-eye view of all boards
  • Personal Boards — private boards each team member manages for their own workflows

Onboarding stages

The default stages are: Outreach → Discovery → Integration → Testing → Live

These are configurable in Settings → Partner Map → Partner Onboarding stages. Admins can add, remove, and reorder stages — changes apply workspace-wide. The order matters: stages flow left to right on the board.

Partner cards

Each card on the board shows:

  • Partner name
  • Health badge — color-coded by highest active alert severity (Red = High, Amber = Medium, Blue = Low, Green = Healthy). Updates automatically as alerts change.
  • Assignee — the team member responsible for this partner
  • Days in stage — how long the partner has been in their current stage. Turns orange as they approach the stuck-in-stage threshold, and red with a ⚠ warning when they exceed it.
  • Sticky note indicator — appears when notes have been left on the card. Yellow/highlighted when there are unread notes from another team member. Grey when all notes are read or the notes are your own.

Moving partners through stages

Drag a card from one column to another. When moving to a new stage, a handoff dialog appears asking you to:

  1. Optionally leave a handoff note
  2. Assign to a new team member (or keep the current assignee)

Confirming the handoff logs a handoff note with the from/to stage, from/to assignee, and timestamp. This creates an audit trail for every stage transition.

Notes and handoffs

Click any partner card to open the notes panel. Here you'll see:

  • All handoff notes in chronological order — each shows which stage the partner moved from/to, who was involved, and when
  • Any standalone notes added outside of handoffs
  • An input to add your own note at any time

Unread note highlighting: The yellow "New note" badge on a card only appears when a note was left by a different team member — not when you leave one yourself. This prevents false notifications on your own activity.

Stuck-in-stage detection

If a partner has been in the same stage for longer than your configured threshold (default: 21 days), their days-in-stage badge turns red and shows a ⚠ warning. A red banner also appears above the board listing every stuck partner and how long they've been sitting.

The same signal surfaces on the Dashboard in the "Stuck in onboarding" section, so leadership can see pipeline health without digging into the board.

Change the threshold in Settings → Partner Map → Stuck-in-stage threshold.

Filtering and sorting

The Partner Onboarding board has two controls:

  • Filter — Excel-style checkbox dropdown. Select specific partners to focus the board on just those cards. Useful when you have many partners across stages and need to compare a subset.
  • Sort by risk — re-orders cards within each column by alert severity (High first). Use this to surface the most critical partners at the top of every stage.

Personal boards

Each team member can create personal boards with their own columns and partners. Personal boards are completely independent — a partner can be on the shared onboarding board and a personal board at the same time.

Personal board stages default to: Planning → In Progress → Review → Done. These defaults are configurable workspace-wide in Settings → Partner Map → Personal board stages.

To create a personal board, click + New board from the board tab strip.

Company Overview

A read-only view that shows the Partner Onboarding board stage-by-stage, but without drag-and-drop or edit controls. Useful for leadership reviews or all-hands. Still shows health badges and days-in-stage on each card.
